All reservations must be made on the official booking form, and this
form, subject to these Booking Conditions and descriptions of accommodation
and services given in our brochures, shall constitute the basis of the
contract between you (the Client) and us (Encounters Ltd). The contract
shall exist when the booking Form has been received by us (along with
relevant payment) and a Confirmation and invoice has been sent to you
by us. This contract is subject to English Law and the exclusive jurisdiction
of English courts.
The Booking Form
Any person signing the booking form on behalf of others guarantees payment
of the full cost of the holidays of all those mentioned on the Booking
Form and any others whom he/she may later add.
Prices
The prices listed in our literature are in Sterling. All accommodation
is priced per person. Each person must pay the holiday price applicable
to the dates and length of his/her individual holiday.
Payments
A deposit of 30% per person and any insurance premiums are payable at
the time of booking, and the full holiday cost is due 5 weeks before departure.
Payment may be made in cash or cheque (made payable to Encounters Limited).
Should the deposit and or full payment not be paid by the due dates, we
reserve the right to cancel the booking and levy cancellation charges
as laid out below.
Insurance
Open to UK residents only. It is suggested that all clients take the
insurance offered by us or an insurance which provides equal or greater
cover. If you do not take our recommended insurance, you will be responsible
for any costs that arise which would otherwise have been met had the Encounters
insurance been taken. Full details of insurance cover will be sent with
your booking confirmation. Please contact us if you have any existing
health conditions which may affect your insurance cover, or are 74 or
over.
Cancellations
Should you or any member of your party need to cancel a booking, cancellation
charges will be made. All cancellations must be notified to us in writing
by the person who signed the Booking Form. The deposit and any insurance
premiums paid will be forfeited in all cases and, depending on when the
cancellation is sent to us, the following charges (expressed as a percentage
of the total holiday cost) will be made:

If no written notice of cancellation is received and you do not travel,
cancellation will be deemed to have been received on the day of departure.
We reserve the right to re-sell any part of a cancelled holiday and this
does not affect our right to levy cancellation fees. Please note that
you may make a claim against our insurers if you have taken their policy
and your reasons for cancelling falls within their terms.
If we alter your booking
It is most unlikely that we will have to make changes to your holiday
but, having made arrangements many months in advance of your travelling,
we reserve the right to do so. If we do have to alter your holiday in
any way, we will inform you of the alteration as soon as possible. In
the case of a major alteration we will offer you another of our courses
of equal value or a full refund. A change in departure time of less than
12 hours, in carrier or type of transport would not constitute a major
alteration by us, nor would departure delay.
Complaints
Should you have any complaint or difficulty concerning your holiday we
would ask you to discuss this with the management.
